1. Start With a Real Product Code

“PVC banner” and “440 GSM” do not identify a complete product. Record the type, coated or laminated build, print face, finish and backing. Keep each alternative in its own quote line.

All four pages list 50 m standard rolls, widths of 1–3.2 m and 5 m, and solvent, eco-solvent, UV and latex ink families. Put the exact order dimensions and print setup in the brief.

2. Map the Manufacturing and Supply Scope

Record the legal seller and the production address used for the quoted product. List coating or lamination, inspection, slitting, rewinding and packing. Mark each step as in-house or outsourced and name the responsible site.

Use that list for a factory visit, live walkthrough or document review. Match the evidence to the product and site. A factory photograph does not identify every step in a specific roll’s production route.

3. Approve a Printed and Finished Sample

Start with the PVC banner sample and product-data library to keep the same model code on the sample request, specification and supplier reply.

Write the acceptance limits before testing. Use the sample to assess the actual print and finishing process.

For frontlit, review the face under its viewing light. For backlit, inspect the same print with lighting off and on. For blockout, check both graphics for show-through. For mesh, test feed, ink capture and the specified liner setup.

Record changes that require a new sample: product code, construction, finish or print process. Keep the revised approval with the order.

4. Link Each Roll to Its Records

Request a sample roll label before shipment. Match its identifiers to the packing list and lot inspection record. Record the person who releases the shipment.

Retain these records for receiving checks, repeat orders and issue reports. Put the change-notification contact and record-retention period in the supplier reply.

5. Read the Scope of Each Document

A management-system certificate concerns the named organization and scope. It does not replace the selected material’s specification or test report.

A missing database result alone does not establish that a certificate is invalid.

6. Put Quotes on the Same Basis

Use the same currency, product, quantity and delivery scope. Record the selected trade rule, exact named point and edition. Keep payment timing and quote validity in separate fields.

Roll area = width × length
Material price per m² = roll material price ÷ roll area

Worked example: 1.60 m × 50 m = 80 m² per roll. A 100-roll order contains 8,000 m². These dimensions are a calculation example.

Separate material, setup, packing, inspection and transport charges. Mark each as included, excluded or separately priced. Compare totals only after adding the same cost categories and delivery scope.

7. Record MOQ and Date the Schedule

  • Requested order quantity on a separate line
  • Mixed-order minimum and setup charges
  • Sample quantity and sample charges

Timing

  • Sample dispatch and approval dates
  • Event and inputs that start production
  • Production duration and inspection date
  • Cargo-ready date; transit recorded separately
  • Schedule owner and latest update

8. Record How Issues Are Handled

Keep the order, product, lot and roll IDs, affected quantity, photos and print or finishing settings. Record the supplier contact, reporting window, response target, investigation and agreed action.

Request the written process for replacement, rework or credit with the quote. Retain the action owner and closure evidence.

Supplier Selection Questions

Is a factory photograph enough to assess a supplier?

No. Identify the legal seller, quoted product and responsible production site. Review the process list and records for that product.

Does an ISO 9001 certificate replace a material test?

No. It concerns the named organization’s management system and scope. Product specifications and required material reports are separate records.

Should every supplier quote the same roll size?

Use the same requested dimensions and quantity. Put a different size or construction in a separate alternative line, then compare the price on the same area and delivery basis.

What belongs in the first inquiry?

Send the use, material type, printer and ink, roll size, quantity, destination and required documents. Attach the supplier RFP to collect answers in one format.
